Main Responsibilities
1. Account Management support:
- Prepare contracts, invoices, PO, payment requests, reports and other documents that relate to each project.
- Assist in preparing payment documents on the systems and coordinating with the Accounting Team to track payments.
- Maintain accurate client records and assist with communication and follow-up as assigned.
- Collaborate effectively with cross-functional teams and stakeholders to resolve the client requests.
2. Incubee Lifecycle Management (EOR & Payroll Services):
- Assist with the onboarding and offboarding of hosted employees.
- Support the management of Visa/Work permit/TRC processes.
- Assist with monthly payroll handling and maintain accurate employee records.
- Address inquiries from incubees/hosted employees and provide timely support.
- Assist with salary calculation, social insurance, and tax declaration processes.
3. Vendor Management & Administrative Buying:
- Support the implementation of administrative buying processes.
- Assist with vendor relationship management and contract administration.
- Track vendor performance and assist in resolving any issues.
4. Data Management and Process Optimization:
- Maintain accurate data records related to clients, hosted employees, and vendors.
- Assist in identifying opportunities for process optimization and automation.
- Support data analysis and reporting activities.
Requirements
- Bachelor’s degree in human resources, Business Administration, Legal, or can be Accounting and other related fields.
- At least 06 months of experience in an administrative, operational, or customer service role. Experience in HR or corporate services related is a plus.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Detail-oriented and accurate.
- Proactive, eager to learn, adaptable, team player, and customer oriented.
- Fluency in English language skills. Additional language skills are a plus.
