Main Responsibilities

1.      Administrative Management

  • Organize office operations and procedures.
  • Supervise all travel and hotel arrangements for staff and visitors, including visas and work permits as applicable.
  • Provide general support to visitors through leading the reception and admin team.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Monitor costs and expenses to assist in budget preparation.
  • Oversee facilities services (IT, office condition,…), maintenance activities and tradespersons (e.g technicians, IT staffs, cleaning service…)
  • Organize and supervise other office activities (yearly company events…)
  • Supervise administrative staff and oversee day-to-day administrative functions to support operational efficiency.
  • Oversee day-to-day customer service for our partners in the same building.
  • Partner with HR to update and maintain office policies as necessary.
  • Assist in the onboarding and offboarding processes of employees.
  • Plan in-house or off-site activities (beer talk, conferences, celebrations, etc.)
  • Coordinate with other departments or Business Units to ensure they have the necessary resources to perform effectively.


2.     Procurement Management

  • Develop procurement strategies and policies tailored to the service industry to optimize purchasing processes and control costs.
  • Identify and evaluate suppliers, negotiate contracts, and establish partnerships to ensure timely and cost-effective delivery of goods and services.
  • Manage contract and price negotiations with office vendors, service providers and office lease.
  • Monitor inventory levels and manage procurement budgets to meet service delivery requirements and financial objectives.
  • Ensure that all items are ordered, delivered, invoiced and paid on time.
  • Manage Admin budget, ensure accurate and timely reporting.
  • Provide advice and direction on procurement matters to business units.


3.     Compliance Management:

  • Interpret and enforce compliance with relevant laws, regulations, and industry standards pertaining to the Company’s activities, service delivery, procurement, and administrative functions.
  • Establish and improve processes for contract compliance, including vendor selection and performance monitoring.
  • Support the other team members on legal contract terms review, risk identification, and/or negotiation as required.
  • Annually review the Company Handbook recommending amendments due to changes in local conditions or labor regulations.
  • Develop and deliver compliance training programs for staff to promote awareness and adherence to policies and procedures.
  • Serve as a liaison with regulatory agencies and external auditors to address compliance inquiries and maintain regulatory standards in close collaboration with the Finance and Accounting department.


Requirements

  • Bachelor's degree in Business Administration, Supply Chain Management, or related field. Master's degree preferred.
  • 5+ years of experience in administrative management, procurement, or compliance roles within the service industry.
  • Demonstrated understanding of service industry dynamics and procurement best practices.
  • Familiarity with relevant laws, regulations, and industry standards governing service delivery, procurement, and compliance.
  • Strong leadership, adaptability, communication, and interpersonal skills.
  • Highly organized, able to manage time effectively, prioritize tasks, and meet deadlines.
  • Detail-oriented with excellent analytical and problem-solving abilities.
  • Proficiency in Microsoft Office Suite and procurement software.
