Mô tả công việc

1. Front Desk Office (30%)

  • Greet and welcome guests/visitors as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Perform other clerical receptionist duties such as filing, photocopying, etc.
  • Ensure the reception area, as well as office, is tidy and presentable
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries


2. Admin Tasks (70%)

  • Maintain office security by following safety procedures and controlling access 
  • Order office supplies and keep an inventory of stock
  • Perform other clerical receptionist duties such as filing, photocopying, etc.
  • Supports in booking the meeting room
  • Provides administrative works such as transportation arrangements and business trips for company employees (cars, flights, taxis, hotels…)
  • Manage stationeries, office equipment & facilities: telephone system, fax…
  • Coordinate pantry supplies (e.g., water order) and liaise with tea lady to ensure working areas are tidy and clean
  • Resolve office-related malfunctions and respond to requests or issues
  • Negotiation, follow, and manage supplier contracts related to admin tasks.
  • Handle all necessary actions at the right time: payments, communication, declarations, paperwork… 
  • In charge of warranty the good conditions of the office facilities and arrange maintenance/reparation  
  • Maintain and organize activities to connect employees monthly and annually  
  • Coordinate with HR for the process of welcoming newcomers
  • Be a key contact to interact with and support employees, Business Units, and Support Units
  • Perform all other ad hoc tasks assigned by the line manager

Yêu cầu công việc

  • BA in administration management/ economics 
  • Minimum 2 years of experience in the same position   
  • Responsible, proactive and teamwork spirit                                             
  • Good interpersonal & communication skills
  • Good organizational and multi-tasking abilities
  • Good at Microsoft Office/Excel
  • Detailed – oriented and Problem solver
  • Good at English, can use French is plus
