Main Responsibilities

Administrate and organize comp engagement activities (70%):

  • Support new staff on board (which includes registering motor vehicles, preparing work tools, etc.);
  • Keep track of employee’s attendance & absences monthly;
  • Arrange and provide services related to transportation for employees' business trips and workshops (such as taxi cards, flight tickets, etc.);
  • Manage fixed assets in the Hanoi office. Make a plan for repair and change (if any);
  • Assist in the ordering, receiving, stocking and distribution of office supplies to all departments;
  • Collect related documents and invoices for Hanoi's monthly payment expenses. Report all administrative expenses and any operating costs;
  • Support EB and HR activities;
  • Fulfill any reasonable additional responsibilities as may be from time to time requested by HR Manager.

Receptionist tasks (30%)

  • Greet and direct visitors to the company;
  • Answer telephones and direct the caller to the appropriate associate;
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information;
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, Viettel, etc.);
  • Assist with other related clerical duties such as photocopying, faxing, filing and collating;

Requirements

  • University degree, at least 6 months of experience in a relevant position;
  • Good-looking and professional appearance;
  • Proficient in English;
  • Good communication and problem-solving skills;
  • Customer/client focus
  • Proactive, high ownership, able to work independently
